Its purpose is to make the applicable source easier to reach and the reasoning easier to review. The product is designed for community sport, where the correct rule often depends on the sport, competition, division, grade, age group, season, venue and facts of the incident. A generic answer from a national rulebook may be incomplete when an approved local condition also applies. Roolbot also supports rules operations. Associations and clubs can organise approved source material, keep competition context attached to it, review registered decisions and identify recurring questions that may require clearer wording, education or a formal clarification. ## Core workflow 1. Set the context: choose the sport, competition and grade so the right sources are in scope. 2. Ask naturally: describe the question in ordinary language as it arises at the club, course, court, field or venue. 3. Read the source: review the practical guidance and the approved material identified behind it. 4. Make the call: the responsible official or administrator considers the full facts and retains decision-making authority. 5. Register and review: record the decision where appropriate so the organisation can see recurring questions and improve its rules communication. ## Source and authority model Roolbot is intended to work from current, approved material for the selected organisation and competition. An outdated, withdrawn or unapproved document should not quietly become the basis of an answer. Roolbot provides guidance, not an official ruling. The current published rules, policies and formally issued directions take priority over an automated answer. Umpires, referees, competition administrators, committees, tribunals and governing bodies retain the authority assigned to them by the relevant sport and competition. A registered decision records what a user submitted. It does not become an official association ruling or binding precedent merely because it was registered in Roolbot. ## Important limits Automated retrieval and AI-assisted generation can be incomplete, outdated or wrong even when an answer includes a source. Users should read the cited source, consider the complete facts and use reasonable independent judgment. Roolbot should not be used as the sole basis for emergencies, injury or medical decisions, child-safety or safeguarding reports, legal advice, player eligibility, disciplinary findings, appeals or other decisions that may materially affect a person's rights. Those matters should use the authorised official, emergency or formal escalation process. Users should not enter unnecessary personal, medical, safeguarding, disciplinary or confidential information into a general rules question. ## Associations and clubs Associations can use Roolbot to create a usable source of truth across competitions. The rules-management workflow is designed to identify each approved document, the competition it covers, its current edition and the people responsible for review. Clubs can use their own approved local material and may operate independently or in an association relationship. The organisation, source hierarchy and authority should remain clear to the user. Registered questions and decisions help administrators see what clubs and volunteers are actually asking. Repeated questions can reveal unclear playing conditions, hard-to-find documents, outdated material or education gaps.
